    Job Description

    • Manage and maintain executive's schedule and calendar, including arranging appointments, meetings, and travel arrangements.
    • Handle all incoming and outgoing correspondence, including emails, phone calls, and mail, and ensure that all messages are responded to in a timely manner.
    • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
    • Coordinate and organize meetings, conferences, and events, including booking venues, arranging catering, and preparing materials.
    • Manage and maintain executive's files and records, ensuring that all documents are organized and easily accessible.
    • Handle confidential and sensitive information with discretion and maintain strict confidentiality at all times.
    • Act as a liaison between the executive and other staff members, clients, and external stakeholders, ensuring effective communication and coordination.
    • Perform administrative tasks such as data entry, filing, and record keeping, ensuring efficiency and accuracy.
    • Assist with special projects and initiatives as assigned, providing support and contributing to their successful completion.
    • Stay updated on industry trends, best practices, and relevant regulations to provide informed support and advice to the executive.


    Desired Candidate Profile

    • Education: Bachelor's degree in a related field, such as business administration or office management.
    • Qualifications: Proven experience as an executive secretary or coordinator, with a strong track record of supporting senior executives.
    • Certifications: Professional certifications in office administration or project management are a plus.
    • Industry of work experience: Previous experience in a similar role within the same industry or a related field is preferred.
    • Years of work experience: Minimum of 5 years of relevant work experience.
    • Language requirements: Excellent written and verbal communication skills in English. Knowledge of additional languages is a plus.
    • Technical and hard skills: Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint. Familiarity with project management tools and software is preferred.
    • Soft skills: Strong organizational and time management skills, with the ability to multitask and prioritize effectively. Excellent attention to detail and problem-solving abilities. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
    • Personal qualities and physical abilities: Professional demeanor and appearance. Ability to work independently and take initiative. High level of integrity and confidentiality. Ability to work well under pressure and meet deadlines. Flexibility and adaptability to changing priorities.
